User Management

Jc360 allows you to add, edit, activate/deactivate, or delete a user at any time. To make these changes, the only condition is that, you must have an admin access level. The first step is to create ne user groups and create a profile of subordinates within them. There are several ways to do this.


User and Group managment at User account menu

This is the basic interface for this purpose, in the User accounts menu we can manage the departments within the company.

User group creation

You can create unlimited new user groups by selecting its position in the organization chart on the left and then clicking on the “New user group” icon. Enter the name of the new user group in the pop-up window and optionally you can appoint the head of the group.

User creation via Excel

You can add all the users at the same time, or make multiple changes in the user hierarchy simply in an Excel sheet. Select the company name on the top of the user hierarchy to download an Excel template in which you can make make all the changes about the users and then just upload the completed file to finalize the modification in JC360. Notice that the UserID field cannot be changed and the rows without UserID will be added as the new users while those with UserID will overwrite the user data. The data of those registered users who are not in the uploaded Excel file will not be deleted from the user structure. After uploading the sheet with the Edit icon you can activate and notify the users individually or all together in groups.

User account creation

Select the group to which the new user is to be added and then click on the “New user” icon. Fill in the pop-up form including the access level (user, group leader - here you can assign him to the group as well - or administrator). The new user can be registered with either active or inactive status.

For active user you can opt for sending an automated email to the address given in the pop-up. The registration email contains the link where to new user can log in and change the password. If the email notification is deselected then you have to set a password for the new user.

First and last workday

In JC360 you can time and automate the users activation and deactivation/deletion. When you create a new user you can decide if you want to activate it right there or you want to automatically activate at a later time. In the user center you there are 2 fillable box, the first day of work and the last day of work. When a user is created, both is empty. If you fill the first workday, then the system will automatically send an activation e-mail. If you fill the last workday, then the system will automatically deactivate the user on that day.

User and user group management

You can also change the settings of a user or a user group by selecting from the hierarchy and clicking on the “Edit” button to perform the modifications on the user data sheets.

When editing a group, you can change the name of the entire group, assign a group leader, send an activation email to the group members or suspend them.

The same way you can cancel the selected user or group with the “Delete” button, also you can move multiple users or groups within the tree structure with the “Mass move” icon or you can just drag the group with your mouse and place it on the group you want to add it to.

You can use the search field above the hierarchy to find a user by user ID, name or the registered email. With the icon on the right, you can filter the user hierarchy by user statuses and periods.

What you need to know about suspending or deleting a user

Suspend status and it's restoration

This status is usally for those agents, who are currently not working for the company, for example beeing in a long vacation, but will continue to work using the jc software in the near future.

When somebody is “suspended”, it means the profile is locked, so no one can login to the website or register worktime using the client with the userprofile. The data's collected so far will not be lost.

The status can be set in the user accounts menu. The admin have to select the user from the company hierarchy (or type his name in the search bar, then select it). The setting will be at the bottom of the page as “save and suspend”. After pressing it, the user will be suspended, until the admin reactivate the same way, but the subtitle will be “save and activate”. The “Send activation e-mails to users” checkbox must be clicked.

Delete status

The deleted status is a technical status and cannot be restored.

User and Group management at User and Tasks menu

All of the previously listed features are also available in the User and Tasks menu, adding that you can immediately assign tasks to users/groups. More details are available on the Task Management website.
